Seven steps for compliant maintenance records

WORKSAFE Victoria has published a short guideline for keeping inspection and maintenance records of mobile plant equipment.

According to the authority, many accidents involving bridge and gantry cranes and associated lifting gear are caused by inadequate inspection and maintenance.

Failures of cranes, slings and accessories have and can result in fatalities and serious injuries.

WorkSafe says maintenance personnel can contribute to solving the problem by consistently inspecting and maintaining the equipment and keeping clear records.

Records should be kept for the life of each item in the plant, regardless of whether maintenance is in-house or contracted out. They should be in a format that allows a third party ready access to the information.

Records should also be written clearly so readers can understand the stages of the operation, and what happened during inspection and maintenance.

A simply guideline involves seven steps to be documented.

1. What is looked at.

2. What is looked for.

3. What is the rejection/acceptance criteria.

4. How it is looked for.

5. What is found.

6. What recommendations are made.

7. What actions are taken based on those recommendations.
